Family Folder Privacy Policy
Last updated: 10 October 2026
Family Folder helps a family keep an older relative’s household paperwork in one shared place. This policy explains what happens to your information when you use the app.
In short: we don’t collect, see or store any of your information. Everything you put in Family Folder stays on your devices and in your own iCloud account.
Who we are
Family Folder is made by Millyon Limited (“we”, “us”). If you have any questions about this policy, contact us at owner@millyon.co.uk.
What information the app holds
You and the people you share a folder with may add:
- names, addresses, phone numbers and email addresses of organisations, and of contacts such as a solicitor or doctor;
- account, policy, customer and other reference numbers;
- payment amounts and important dates, such as renewals;
- notes;
- scanned or imported letters and documents;
- a photo of the person the folder is for;
- the first name and last initial of each Helper, so letters show who scanned or filed them;
- the people Call for Help can ring, and their FaceTime phone numbers or email addresses.
Where it’s stored
On your devices. The app keeps a copy of your folders on each device you use it on.
In your iCloud account. Folders are stored and synced using Apple’s iCloud (CloudKit):
- A folder you create is stored in your iCloud account and counts towards your iCloud storage.
- A folder someone has shared with you stays in their iCloud account. Only the people they’ve invited can see it.
- Account numbers, hidden details, Helpers’ contact details and the text read from letters are stored in iCloud’s encrypted fields.
We don’t run any servers, and we have no access to your iCloud data. Apple’s handling of iCloud data is covered by Apple’s own privacy policy.
What we collect
Nothing. Family Folder:
- has no account or sign-in with us;
- doesn’t use analytics, advertising or tracking of any kind;
- doesn’t include third-party data-collection or advertising tools;
- doesn’t send your information to us or to anyone else.
Processing on your device
When you scan or import a letter, Family Folder reads its text and suggests where to file it. This happens entirely on your device, using Apple’s built-in text recognition and on-device intelligence. Your letters aren’t sent anywhere to be read.
Permissions the app asks for
- Camera: to scan letters. Photos and scans are only used to create the letter in your folder.
- Face ID or Touch ID: to show hidden details. The app never receives your face or fingerprint data; your device simply confirms it’s you.
- Photos (when you choose to): to pick a photo of the person the folder is for, or a letter you’ve photographed. The app only sees the photos you choose.
- Files (when you choose to): to add a PDF you’ve chosen.
Sharing
A folder is only shared when you invite someone through iCloud sharing, or set up the parent’s iPad by QR code. You can stop sharing, or remove someone, at any time from Shared With. Call for Help starts a FaceTime Audio call through your device’s FaceTime app.
Handing over a folder
The owner of a folder can hand it over to someone else, for example if another family member is taking over. Family Folder makes a hand-over file containing everything in the folder, including hidden details and letters. The file is encrypted with a password the owner chooses, and can’t be opened without it.
The owner sends the file themselves, for example by AirDrop or email, and should give the password to the new owner separately. We never receive the file or the password. Once the folder has been imported, the file can be deleted.
Children
Family Folder isn’t designed for children and doesn’t knowingly hold children’s information beyond what a family adds about their relative’s household.
Keeping or deleting your information
Your information stays until you delete it:
- Delete a letter or an item in the app, and it’s removed from your devices and from iCloud for everyone it’s shared with.
- Delete the app, and its local copy goes with it. Data in your iCloud account can be managed in your device’s iCloud settings.
Because we never receive your information, we can’t access, correct or delete it for you. You stay in control of it at all times.
Your rights
Under UK data protection law (UK GDPR) you have rights over personal information held about you. As we don’t hold any, there’s nothing for us to provide, correct or delete. If you have a question, contact us at owner@millyon.co.uk.
Changes to this policy
If this policy changes, we’ll update the date at the top and publish the new version at this address. Significant changes will also be mentioned in the app’s release notes.
